September Activities


Brief summaries and information that was shared at meetings, events, and activities will be shared here post completion, for anyone who was unable to attend. Officer and committee meeting minutes will be posted elsewhere.

2 - Regular Crew Meeting
Bylaws, crew organization, and schedule were discussed. A baked potato bar and good conversation was enjoyed by all.

9 - Elkhorn District Roundtable
Jason and Kathleen were in attendance. The topic of the month was planning. Some GREAT training and activities will be presented next year. Anyone who misses roundtable will really miss out. Wood Badge recipients were awarded. Leaders interested in this exciting program are encouraged to contact Jason, Kathleen, or council for information. 

16 - Regular Crew Meeting 
Liam taught everyone some great skills. The crew discussed training and signing up to volunteer with local disaster relief agencies in case of major catastrophes in our area. The Equal Exchange donation arrived earlier in the day. So, the crew sampled their candy bars, and discussed the fundraising literature they included. Equal Exchange is offering some special bonuses to maximize our fundraising potential. 

19  - Popcorn Show and Sell
$540 Sales. $54 donations. We reached our goal, and can afford uniform shirts for all our crew members!

26 - Popcorn Show and Sell
$640 Sales. $37 donations. We reached our low goal. Everyone will be receiving 2016 collector's edition BSA caps!

29 - Swim Merit Badge Workshop 
Thanks so much to Jennica for all her hard work! With school and activities starting up, the crew decided to do something less time consuming this month. We hosted a small merit badge workshop. We had room for a few extra scouts, and made an invitation at roundtable. Everyone had a great time, and achieved their goals. Our crew had one scout earn the Merit Badge, and one earn her Crew Award. Good job!

25 Sept 2015 Officer Meeting Minutes

Meeting was called to order at 5:05 by Cora Shepherd.


Bylaws were unanimously ratified. Kathleen is to upload them to the website. Elkhorn District Executive has been furnished with a copy.


The crew has one Venture Rank, and two unranked members. Liam was elected to office before earning Venture Rank, under the condition he complete the requirements by this month’s officer meeting. He did not do so, and has been put on a one month probation. If he still hasn’t completed his requirements by October’s Officer Meeting, he will be stripped of his position as Vice President of Administration.


Liam has earned Camping and Emergency Preparedness merit badges in the last month.


The crew has 100% attendance at meetings and activities.


Updates to the website were discussed. Crew email address was shared. Instructions for requesting access to the crew google docs was shared. No one is interested in creating a newsletter or social networking presence at this time.


Recent activities were discussed.


Upcoming activities were discussed. Goals were set for show and sell dates, and a reward structure was decided on. The rewards are as follows;

Show and Sell dates were finalized. Winter Tier III activity itinerary was decided upon. Final details will depend on how much profit the crew earns from popcorn. October meeting activities were assigned. October outing was decided upon. Crew will be leaving for southern utah at 6am the morning of Sat Oct 31, and home by 3.


Crew 4242 bank account has been set up. Everyone enjoyed passing around the crew bank card to look at.

Everyone is looking forward to the Equal Exchange Fundraiser. It will have three phases. Phase one (middle of January), we will offer the community the opportunity to buy products through us as a discount - to be delivered in early February. Phase two (the first two weeks of February), we will place the pre-orders and our bulk order at the same time. This allows us to use the pre-order profits to place our order, and also maximize the 20% discount for first time buyers. We show and sell the extra we ordered. Phase three, while we are show and selling, we use the Equal Exchange fundraising book. This highlights the discount we are offering in person, and allows people to buy a much wider variety of products than we can carry. We place those orders to be delivered at the end of February.

Everyone enthusiastically and unanimously agreed to hold a Woman’s Bean Project fundraiser in early summer.

Estimated expected profits from popcorn sales were discussed, and a rough outline of how the funds should be spent was drafted. It will be adapted as the sale progresses.


Equipment was discussed. While everyone is excited to enjoy the equal exchange donation, rules were put into place for its consumption. It will only be eaten at overnight events (preferably with s'mores), or at crew and officer meetings where no other dessert is offered. One bar per every two people in attendance shall be brought out at such events. Aside from the chocolate, the crew is slowly accumulating equipment. Kathleen will put together a simple quartermaster spreadsheet in google docs for the crew’s use.


The next Officer Meeting is scheduled for October 23, 2015 at the Shepherd Residence.

Meetingwas called to order at 7:00pm by Mary Rundle.

Adultapplicant for Associate Advisor position was unable to appear forinterview due to last minute work responsibilities. Interview is tobe rescheduled at the applicant, Committee Chair, and InstitutionHead's earliest convenience.

ProposedBylaws were unanimously approved. Ratification shall be added to theOfficer Meeting Agenda.

CrewProgress was reviewed. All crew members will have achieved VenturingRank by next Crew Meeting. Activities to support continuingadvancement are scheduled.

Communicationefforts were reviewed. All scouts and leaders are encouraged to jointhe crew website at crew4242.scoutlander.com

Recentactivities were reviewed.

Upcomingactivity schedule was discussed. Crew, Officer, Committee Meetingsand Roundtable schedule were reviewed. Sept 30th SwimMerit Badge Workshop was discussed. Committee is in favor of offeringopen spots to scouts from other Troops and Crews, as it supports thecrew's desire to be involved in the local scouting community.

WinterGrand Canyon trip was discussed. Committee looks forward to hearingmore specific plans and budget estimates from the crew. Mary Rundleoffered to join Jason and Kathleen as a registered leader for thetrip.

Financialissues were discussed. Crew Fund stands at $10, outside of theongoing popcorn fundraiser. Permission to open a Crew bank accountwith Mountain American Credit Union was granted. Jason is tasked withopening the account before the next Committee Meeting.

PopcornFundraiser dates and progress was discussed. Show and Sell order wasdiscussed. In light of current business support, the committeeunanimously agreed to order the larger show and sell package, plusone case each of the Chocolate Triple Delight, and White ChocolateyPretzels. Kathleen will email the order to Council. As our crew waslate to sign up for popcorn, it is understood that it may not bepossible to fulfill the entire order, and the committee and crew willbe happy for whatever is available.

EqualExchange's invitation to sell their product as a fundraiser wasdiscussed. The council looks forward to reading the official offer,and is tentatively planning to sell their chocolate in January, withdelivery dates shortly before Valentine's Day. Equal Exchange hasalready sent the literature. So, it should be available to considerat the next Committee Meeting.

Woman'sBean Project was suggested as the third annual fundraiser, to happenin late spring or early summer. The committee unanimously agreed. Theproposal is to be added to the Officer Meeting Agenda.

Permissionto use current crew funds, and upcoming donations for class Buniforms was unanimously approved. Scouts will receive uniforms inorder of rank. Then adult leaders in order of attendance at Crewfunctions.

Trainingopportunities were discussed. Leadership has 100% Youth ProtectionTraining. Kathleen encouraged leaders to take other online trainingcourses in their spare time. Council First Aid offerings werediscussed. Jason and any available youth will sign up for the Octoberclass. Kathleen, Mary, and any youth still untrained will sign up forFebruary.

Equipmentwas discussed. Equal Exchange has been informed Kathleen's change ofleadership and wishes their donation to be given to Crew 4242 insteadof Crew 4457, since the other crew's leadership has expressed a moralobjection to accepting gifts or participation in fundraising. EqualExchange is excited to create an ongoing relationship with Crew 4242.Four cases of chocolate bars will arrive no later than September 18.

As soonas the bank account is set up, Kathleen will link the Square accountin her name to Crew 4242. Her household currently has a Square creditcard reader that can be used by the crew to take orders, and anotherbeing shipped next week. They can be checked out by youth or adultsfor fundraising activities.

OctoberCommittee Meeting will be October 13, 2015 at Texas Roadhouse inLogan starting at 7pm.

7 - Regular Crew Meeting 
We had a great time working on our leadership skills for discovery rank! There was traditional Australian pumpkin soup, damper, and ginger beer for dinner. Some guests even joined us! We loved their company and hope they'll join the crew so we can see them more often.

Extra scouts meant extra fun! Almost $700 in sales didn't hurt, either...
